Ö÷²¥´óÐã Radio Scotland Young Jazz Musician 2024, Privacy Notice

Your trust is very important to us. This means the Ö÷²¥´óÐã is committed to protecting the privacy and security of your personal data. It is important that you read this notice, so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

Ö÷²¥´óÐã Radio Scotland Young Jazz Musician is an annual award, hosted by Ö÷²¥´óÐã Scotland to promote jazz in Scotland. The competition is open to any musicians between the ages of 18 and 27 who have been living in Scotland for at least a year.

Applications are accepted online, and the top four (4) applicants are selected to take part in the finals to be held at Ö÷²¥´óÐã Scotland’s headquarters at Pacific Quay in Glasgow. All dates for the finals are available on application, and applicants are expected to be available for these dates.

The Ö÷²¥´óÐã will collect the personal data via an online platform.

The finals will be broadcasted live on Radio Scotland. If we broadcast your contribution on-air, this may include the programme being available online and/or on demand, and your contribution may be used again in a future broadcast.

We may use your contribution for promotional purposes on the Ö÷²¥´óÐã’s social media sites.

First prize in the competition includes a showcase concert organised by the Glasgow Jazz Festival in 2025, so we will share the winner’s email contact details with the festival, for the purpose of arranging the concert.

What personal data will Ö÷²¥´óÐã collect and how will we use it?

The Ö÷²¥´óÐã will collect your personal data provided via the online form for the purposes of administering the competition.

Personal data:

You must be between 18 and 27 years old to submit an application.

The Ö÷²¥´óÐã will collect and process the following personal data about you:

  • Your full name
  • Your postal address
  • Your age
  • Your email address
  • Your audio recording
  • Your mobile number
  • A brief description about yourself and your interest in jazz music

The Ö÷²¥´óÐã may also process special category data depending on the content of your submission to us. This might include for example:

  • Racial or ethnic origin
  • Religious or philosophical beliefs
  • Political opinions
  • Health information
  • Sex life and sexual orientation

Who is the Data Controller?

The Ö÷²¥´óÐã is the “data controller” of your personal data. This means that the Ö÷²¥´óÐã decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice by the Ö÷²¥´óÐã.

We advise you to please refer to the Glasgow Jazz Festival’s privacy policy for further information about how they will process your personal data. As data controllers, the Ö÷²¥´óÐã and the Glasgow Jazz Festival have the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The lawful basis on which the Ö÷²¥´óÐã processes the personal data and special category data is the performance of its public task. The additional basis on which the Ö÷²¥´óÐã processes your special category data is substantial public interest relating to ‘journalism, academia, art and literature.’ The Ö÷²¥´óÐã’s role is to act in the public interest and to serve all audiences with content which informs, educates, and entertains.

This is consistent with the Ö÷²¥´óÐã’s wider public purposes under its Royal Charter which requires the Ö÷²¥´óÐã to, “show the most creative, highest quality and distinctive output and services: the Ö÷²¥´óÐã should provide high-quality output in many different genres and across a range of services and platforms which sets the standard in the United Kingdom and internationally.”

We will also rely on legal obligation to process the personal data of the winners to comply with relevant competition regulations.

Sharing your personal data

The Ö÷²¥´óÐã works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the Ö÷²¥´óÐã and not independently of the Ö÷²¥´óÐã.

We will share the audio application that you submit with the judges of the Ö÷²¥´óÐã Radio Scotland Young Jazz Musician 2024 competition, to allow the judges to shortlist candidates.

We will share the winner’s email address with the Glasgow Jazz Festival, for the purpose of arranging the showcase concert.

We may share personal data with a third-party where required or permitted by law.

Retaining your personal data

If your nomination is not shortlisted, your personal data will be deleted on or before the day of the award ceremony, which will be 24

November 2024.

Details of the shortlisted nominations will be kept for no longer than 24

November 2025.

The winner’s name and contact details will be kept for two (2) years after the ceremony for auditing and compliance purposes.

If you feature on a broadcast or online content, this will be retained and archived in perpetuity by the Ö÷²¥´óÐã. 

Your data will be stored within the UK and European Economic Area (EEA).

Your rights and more information

You have rights under data protection law:

  • You can request a copy of the personal data Ö÷²¥´óÐã stores about you.
  • You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
  • You have the right to ask for the personal data we collect about you to be deleted however there are limitations and exceptions to this right which may entitle the Ö÷²¥´óÐã to refuse your request.
  • In certain circumstances, you have the right to restrict the processing of your personal data or to object to the processing of your personal data.
  • You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.
